Be My Eyes Workplace Spotlight: Workplace AI

Most modern office work is visual.

Most modern office work is visual.

Slides, dashboards, screenshots, diagrams, emojis, whiteboards, pop-up messages, meeting screen shares – even the “small stuff” that helps people stay in sync throughout the day.

Sighted employees absorb this information constantly, often without realising it. However, for blind and low vision employees, that same environment can create a daily access gap.

This isn’t because they lack skill but often because workplace tools and workflows aren’t always accessible.

That’s where Workplace AI comes in.

What is Workplace AI?

Workplace AI is one of the three core features of Be My Eyes Workplace – a Workplace Accessibility Management (WAM) solution designed to help organizations remove visual barriers across everyday tools, documents, and workflows.

Workplace AI is an AI-powered desktop assistant built to provide instant, context-aware descriptions of what’s on screen. Instead of waiting for someone to explain what’s being shown (or having to work around inaccessible content), Workplace AI helps employees access the same workplace information their sighted colleagues can see immediately.

Real workplace use cases

Following slides during live presentations

Slides are still one of the most common formats for sharing information at work. Workplace AI can describe what’s being shown while the employee listens on Zoom or Teams, making it possible to follow along in real time rather than waiting for someone to summarise later.

Understanding images shared in Slack or email

Workplace communication is full of visual content: screenshots, memes, event flyers, charts pasted into messages, and reaction emojis that add meaning to conversations. Workplace AI can explain what’s being shared so employees don’t miss the context others are responding to.

Interpreting charts and dashboards

Performance metrics, KPIs, project tracking, and analytics are often presented visually. Workplace AI helps employees understand what the data is showing, which supports faster decision-making and more equal participation in performance conversations.

Describing inaccessible SaaS tools

Many SaaS platforms still include unlabeled buttons, unclear layouts, or inaccessible admin panels. Workplace AI can describe what’s on screen when structure and labels aren’t accessible, helping employees move forward instead of getting blocked.

Explaining pop-ups and system messages

Error dialogs, warning prompts, and confirmation messages can stop work instantly. Workplace AI helps employees understand what’s happening immediately, so they can respond without delay.

Checking appearance before a video call

For many professionals, video calls are part of daily work. Workplace AI can help employees confirm they’re centered, in frame, and presentable before joining a meeting – supporting confidence and professionalism.

Benefits for employees

Workplace AI provides a vast range of benefits to blind and low-vision employees. Some of the main ones include:

Fewer daily blockers

Reduces the small but constant access barriers that slow work down, like charts, screenshots, pop-ups, and visual layouts.

Greater autonomy in daily tasks

Employees can access workplace information without needing to ask a colleague to interpret what’s on screen.

Stronger meeting participation

Helps employees follow slides, shared screens, and visual content during live Zoom or Teams calls, so they can contribute in real time.

Less reliance on workarounds

Removes the need to copy/paste content elsewhere, wait for remediation, or request alternate versions just to understand basic context.

Higher confidence and reduced fatigue

Fewer interruptions and fewer “unknowns” reduces stress and cognitive load, allowing employees to focus on their actual role.

Greater inclusion in everyday culture

Enables employees to access the same content shared casually across teams (Slack images, memes, emojis, internal comms), which supports belonging.

Business impact

In addition to the benefits for employees, Workplace AI helps businesses drive measurable outcomes, including:

Faster execution and fewer workflow delays

When employees can interpret on-screen content instantly, tasks move forward without waiting for someone else to step in.

Lower internal support burden

Fewer accessibility blockers become IT tickets, manager interruptions, or “quick questions” that pull colleagues off their own work.

Higher employee performance and output

Employees can complete more tasks independently, contribute more consistently, and spend less time stuck on basic access barriers.

Stronger retention and reduced attrition risk

Accessibility friction is a real reason talented employees disengage or leave. Removing those daily barriers improves satisfaction and long-term retention.

More inclusive collaboration across teams

Employees can participate in meetings, shared documents, and day-to-day communication with the same context and speed as everyone else.

Reduced operational risk

When accessibility depends on informal support or inconsistent accommodations, the business is exposed. Workplace AI helps standardise access across teams and workflows.

Better ROI on disability hiring and accommodations

Hiring is only half the equation. Workplace AI helps ensure employees can actually succeed once they’re in role — which is where the real value is created.

Start improving workplace access

Workplace AI is designed to make workplace information accessible as it appears — not days later, not after a ticket, and not after a workaround.

Because accessibility is not just about compliance. It’s the baseline for whether employees can participate equally in a modern work environment.

Workplace AI is one part of Be My Eyes Workplace — and an important step toward a workplace where blind and low vision employees can contribute with the same speed, context, and confidence as everyone else.

Frequently asked questions

How is Workplace AI different from using a general AI chatbot or LLM?
Workplace AI is built specifically for blind and low vision professionals and designed for real workplace use. Unlike a general AI chatbot or LLM, it’s optimized to interpret on-screen workplace content, using custom prompting and workflows developed with the blind community. It also fits naturally into day-to-day work through simple keyboard shortcuts, making it fast to use in meetings, documents, and SaaS tools without disrupting productivity.

Will Workplace AI replace a screen reader?
No. Workplace AI is not a screen reader and it isn’t designed to replace one. Screen readers remain essential for navigating text and interface elements. Workplace AI complements existing access technology by interpreting visual content that screen readers often can’t, such as charts, images, dashboards, layouts, and screenshots.

Can Workplace AI be used with confidential or sensitive information?
Images and queries submitted for AI processing are used solely to generate responses. OpenAI does not store Workplace images or queries, and your company’s data will never be used to train AI models or to develop unrelated services. Be My Eyes does store images, queries, and results to support service quality and troubleshooting for up to 30 days by default. Workplace administrators can configure shorter retention windows of as little as 24 hours. After the set period, the data is automatically deleted unless the user chooses to save it.

What AI model does Workplace AI use?
Workplace AI is powered by our long-standing partnership with OpenAI. We combine advanced foundation models with custom prompting and workflows designed specifically for blind and low vision workplace use, ensuring the experience is practical, reliable, and optimized for real-world tasks.
